Flights and hotels get researched to the dollar, then everything else gets a round number and a hope. Two weeks later the credit card statement tells a different story, and it is rarely the flight that did the damage.

That problem is the entire purpose of our goal here at Budget Your Trip. Calculating the average travel costs for cities around the world helps you plan what you’ll really need for a trip beyond the obvious costs of flights and hotel rooms.

A workable budget has two halves: the costs you can look up before you go, and the costs that only show up once you arrive. Both are predictable if you know where to look. This guide walks through each line, in the order you will actually spend the money, and finishes with a working example you can copy.

Start with the total, not the destination

Decide what the whole trip can cost before you fall in love with a place. A firm ceiling changes every decision that follows: which destinations are realistic, how many nights you can afford, whether a rental car makes sense or the train does the job, what type of restaurants you can afford, and what museum tickets you’ll need to buy.

Write the ceiling down, then split it into two buckets. Around 85 to 90 percent goes to the planned costs below. The rest is your buffer, and we will come back to why that matters later.

The costs you can look up before you go

These four lines make up most of any trip, and every one of them can be priced before you book anything.

Flights, plus the airport transportation at each end

Airfare is the easiest cost to compare and the most misleading. A fare that looks cheap can land you at an airport an hour from the city at a time when the trains have stopped, and a late-night taxi at each end can wipe out the cost savings. Price the fare and the transfers together, as one number, before you decide if the flight is a bargain.

Check the schedule too. A return flight that forces an extra night of accommodation is not cheaper than one that gets you home on Sunday evening, even when the ticket price says it is.

Accommodation

Accommodation is usually the single largest line in a trip budget. Price it per night for the whole trip and always use the all-in figure, not the headline rate. Make sure you’re seeing the total that includes taxes, resort fees, local city fees (if any), and so on. Most hotel booking websites will show you this total once you’ve moved into the booking process, but it’s not always obvious when you’re just surfing around for nightly prices.

Since a Federal Trade Commission rule announced in December 2024, US hotels and short-term rentals have to show the total price including mandatory fees whenever they advertise one, so the number you see in a US search should now be the number you pay. Outside the US the picture is less tidy. European websites are also required to show the total costs, but every place has slightly different rules. Resort fees, cleaning fees and city taxes can still appear at checkout, so read the final screen before you confirm.

If you are choosing between two cities, compare a week of accommodation in each before you compare the flights. The gap between the two hotel bills is often bigger than the gap between the two plane fares.

Food and local transport

Food and getting around are where averages from other travelers do the heavy lifting. You cannot price every meal in advance but you can know what people like you typically spend.

Our own data here at Budget Your Trip’s puts the typical daily spend in the United States at $324 per person, with around $96 of that on meals and $46 on local transport. Naturally, you’ll want to look up the specific destinations, or build an itinerary here. Multiply the daily figure for your destination by the number of nights and you have a base number that beats any guess. Then adjust for your style: if you eat out twice a day and take taxis, push it up; if you cook and walk, pull it down. If you’re brining your own car, then local transit is more about local gas prices. Also, you might have to pay for parking if you’re in a big city, so take that into account if you’re driving.

Sightseeing and activities

Museums, day tours, national park passes, a cooking class, or that one big-ticket experience the whole trip is built around… it all adds up! List them, look up the prices, and total them. Most people are surprised by how quickly entry fees add up over a week, and equally surprised by how much a city pass or a park annual pass can save when they are visiting more than two or three places.

The costs that catch people out

This is the half most budgets skip, and it is where the “how did we spend that much?” feeling comes from. None of these are unpredictable. They are just easy to leave off the list.

The rental car counter

If the trip involves a rental car (or “car hire” as some places call it), this is the biggest budget surprise for most travelers. The daily rate you booked online is rarely what you pay. At the desk you will be offered a collision damage waiver, a supplemental liability policy and often a roadside assistance add-on, and together they can double the cost of the rental. Decline them all and you are exposed to a deductible that can run to several thousand dollars if the car is damaged or stolen. Even just a small rock putting a small crack in the windshield can set you back a few thousand if you don’t have the insurance for it.

The cheaper route is to sort protection before you reach the counter. Standalone rental car insurance from a provider such as RentalCover, bought online before pickup, can cost up to half the desk price, comes with a zero deductible, and covers things the counter waiver usually excludes, such as windshields, tires and lost keys. You then decline the desk add-ons with a clear conscience and a better budget.

If you plan to rely on a credit card instead, read the terms first. The Insurance Information Institute notes that credit card benefits are usually secondary, which means they only pay out after your personal auto policy and the rental company’s cover have been used, and many cards exclude certain vehicle types and long rentals altogether. Do you research, and prepare to be a bit disappointed by what you find.

Airport transfers at the hours you actually land

Pay attention to the cost of getting from the airport to your hotel, round trip, at both ends, at the time your flights actually arrive and depart. Public transport that stops at midnight does not count if you land at 11:45pm. Look up the last train and the first bus before you book the fare, and if a taxi or Uber is the only option, put that into the budget. You might also want to check a site like Viator for local airport transfers, as many cities have options that are cheaper than taxis but more expensive than public transit.

Tourist and city taxes

Many European cities charge a nightly tax per person that is collected at the property rather than at booking, and some destinations add an entry or departure fee on top. Each one is small per night and noticeable per week, especially for a family.

Some nicer resort areas also charge a “resort fee” which supposedly covers random things, but is often just a way for the hotel to make more money while also advertising a cheaper room price online. Know before you go!

Card, ATM and currency fees

Watch out for foreign transaction fees on your card, withdrawal fees at overseas ATMs, and the poor exchange rate offered by airport currency desks and “pay in your home currency” terminals. Three habits fix most of it: pick a card with no foreign transaction fees before you leave, withdraw larger amounts less often, and always choose the local currency when a machine or card reader asks. Never use airport currency exchange desks. Paying with a card in today’s modern technological era is actually the best way to get decent exchange rate.

Travel insurance

Not a hidden cost, but a forgotten one. Medical cover abroad, cancellation and lost luggage typically run from about $75 for a week to several hundred dollars for a long trip, and our travel insurance guide has example quotes by trip length and traveler age. Budget it as a line item, not an afterthought, and check whether your policy includes rental car cover before you buy it separately.

The small stuff

Tips, laundry, a local SIM or eSIM, bottled water, luggage storage, the odd souvenir. A few dollars a day each, and a hundred or two by the end of a two-week trip. Give them a single line in the budget so they stop being surprises.

Add a buffer on top

Add 10 to 15 percent to the total. The estimate is probably fine. The buffer is there because a trip with zero slack turns every unplanned coffee into a stressful decision. I’ve made the same point about leaving space in the budget when choosing between cheap flights. A buffer is what lets you say yes to the thing you did not know existed until you arrived. Travel is supposed to be fun, so give yourself a bit of room to have the fun moments instead of stressing about every little expense.

If the trip comes in under budget, the buffer is your souvenir money. If it does not, you have absorbed the surprise without touching the rest of the plan.

A worked example: two people, one week in the United States

Mid-range travel, one hire car for five of the seven days:

Flights: your fare, plus two airport transfers each way at the hours you land

Accommodation, food, local transport and sightseeing: roughly $4,536 for two, using the Budget Your Trip average of $324 per person per day

Rental car: the online rate for five days, plus insurance bought before pickup rather than at the desk

Travel insurance: around $75 to $125 each for a week

Card and currency fees: close to zero if you sort the card before you leave

Small stuff: a line of $150 to $200 for the week

Buffer: 10 percent of everything above

Total it, compare it with the ceiling you set at the start, and adjust the biggest lines first if it does not fit. Dropping a hotel category or a night usually moves the number further than cutting museum visits.

Also, choosing different destinations entirely can save you a bundle, as some larger cities are much more expensive than others. Getting off the beaten path is usually what makes a trip amazing, after all.

Keep the budget alive while you travel

A budget only works if you check it against reality. Track spending as you go, even roughly, so a $40-a-day overspend on food shows up on day three rather than on the end-of-month statement. Here on our website, we have a free expense tracker for exactly this purpose, and a notes app works nearly as well if you are consistent.

The point of a travel budget is not to spend less. It is to know what you are spending before you spend it, so the money goes where you want it to go.
